Job Summary:

The Senior Operations Coordinator is responsible for providing advanced and general Operations and Facility related support.

A Day in The Life:

  • Efficiently able to execute all tasks listed for the Operations Coordinator.
  • Manage, assign, or process work order requests received by business units companywide. 
  • Oversee daily mail process, providing assistance when needed.  Ensure postage meter has adequate funds and supplies.  Continually look for ways to reduce incoming mail volume.
  • Keep the mailroom organized and well stocked, including maintaining the appropriate level of supplies and ensuring the postage meter machine is funded and functioning in good order; order supplies as needed.
  • Process office supply orders online as needed.
  • Monitor and distribute all messages received to the Cleveland general voicemail and fax inbox to appropriate Employee-Owners throughout the day.
  • New Hires, terminations & internal desk moves – prepare workspace to ensure desk locations are fully prepped and cleaned thoroughly, new signage created, and personal items left behind are returned to employee owner as instructed.
  • Maintains and manages the Welcome booklet; keeping all details for all locations current and relevant, posting to MyOswald; reaching out to branch contact as needed.
  • Maintains accuracy of office floor maps for all locations, including posting updates to MyOswald on a weekly basis. 

 

 

  • Works with Loss Control staff in Risk Consulting to coordinate building safety and evacuation planning for all Employee-Owners.  Coordinates information details and schedules meetings with captains/floor wardens associated with the building evacuation process; trains staff to ensure safety compliance measures are met.  Maintains up to date documentation on MyOswald and employee Welcome Booklets.
  • Process business card requests for new employees, promotions or departmental changes as communicated by Human Resources.
  • Responsible for coordinating all elements of scanning projects; record and archive important documents into an electronic file.  Ensures related hard copies are destroyed according to policy.
  • Performs high volume printing/photocopying, binding, collating, and laminating as assigned; examples include presentations, proposals, and other miscellaneous documents.
  • Supports the branch locations for many of the services previously referenced above as needed.
  • Supports the Facilities Manager in the physical relocation of operations to the new locations; performs ad hoc project duties identified by supervisor. 
  • Exercises the greatest degree of discretion in the handling and dissemination of confidential and highly sensitive business and personal information.

 

What You’ll Need:

Associate degree in Business from a two-year college or technical school and one to three years related experience or the equivalent combination of education and experience.

Prior Experience Specifically Required

·         Prior experience performing an administrative support position is required.

·         At least 1 to 3 or more years of industry knowledge is required.
